This is not training. It assumes your team is already operational. The retainer keeps operations healthy, not building them from scratch. If you need to establish your baseline first, the Operational AI Enablement Pilot is the recommended starting point.

This retainer is well suited for:

3. The monthly rhythm

Each month follows a defined structure. The opening week covers a structured performance and risk review: a review of recent outputs, identification of quality patterns, a scan of relevant AI tool and policy changes, and a written assessment of where the operation stands against its own documented standard.

The mid-month session covers optimization recommendations: what to adjust, what to automate further, what to pull back to manual review, and any emerging edge cases the team encountered since the last review.

Recurring office hours are available throughout the month for direct questions, live work review, and escalation discussions. These are structured, not open-ended: questions and materials are submitted in advance, and sessions move efficiently.

4. Office hours and escalation

Not every quality issue can wait for a monthly review. The retainer includes a defined escalation path for time-sensitive situations: output disputes, tool failures, client-facing concerns about AI-generated material, or unexpected model behavior that affects a live case.

Escalation items are triaged within one business day. Resolution depends on the nature of the issue, but the default expectation is a clear direction — proceed, hold, or reopen — before the matter moves further.

5. What the oversight memos and findings look like

Monthly deliverables are written, not just verbal. The performance and risk review memo documents the current quality status, any flagged issues with specific outputs or workflows, recommended changes, and a forward-looking risk assessment for the next period.

Optimization recommendations are written as actionable items, not vague observations. Each recommendation includes a rationale, an implementation note, and a suggested timeline. Teams that act on the recommendations consistently produce measurably better outputs within two to three review cycles.

6. What this retainer does not include

The retainer does not cover software development, tool builds, or custom infrastructure work. It does not include direct research or casework execution — that is covered by the Sprint: Investigative Research Support engagement. It also does not replace internal management or supervision of staff; it provides the external quality and governance layer, not internal line management.

Retainer scope is fixed monthly. Work that falls outside the defined retainer structure is scoped and priced separately before it begins.

Retainers run on a monthly basis with a defined minimum commitment. Monthly scope, hour allocation, and escalation terms are agreed in writing before the retainer begins. Retainers can be paused or restructured at the end of any term if operational needs change significantly.
